Job Summary:

As the Administrative Assistant, supporting the Sr. Director of Operations, you will be responsible to manage the day to day administrative needs of the Sr. Director of Operations, as well as the key administrative components of the Business Unit(s). Professionalism, time management, and organization skills are key attributes for this role.

Specific Responsibilities:

  • Maintain/ Coordinate agenda for Regional meetings

  • Maintain Sr. Director of Operations’ agenda/ calendar (internal/ external Stakeholders and Vendors)

  • Establish and maintain contact information on all business related contacts (internal/ external)

  • Produce daily, weekly, monthly reports as required

  • Sort incoming mail and prepare responses/draft when necessary

  • Prepare Power Point Presentations

  • Assist Director, Managers and Administrative Assistants throughout business unit with preparation of documents or administrative functions

  • Create and maintain filing system

  • Assist in budget preparation and monitoring

  • Coordinate travel arrangements and maintain expenses

  • Provide follow up and coordination support on projects as required

  • Plan and coordinate corporate events.

Position Qualifications:

  • Proficient in Microsoft Office, Windows

  • SAP experience an asset

  • 2 to 5 years’ experience in a similar position (reporting to a higher level of management in the enterprise)

  • Bilingual (English and French spoken and written) an asset

  • Strong organizational skills

  • Capable of anticipating needs and behaving proactively

  • Strong communication skills

  • Demonstrated capability of discretion, confidentiality and professionalism
