Job Summary

The Administrative Assistant provides support to the VP, Business Development with the daily organization of his needs.

Principle duties to the this executive includes; managing his agenda, e-mails, planning and organize meetings and trips, including all logistics (reservations, travel, billing and expense reports, etc.). Duties include organizing schedules, coordinating information and being in contact with all persons concerned. Prepare presentations and validates information. Act as the liaison between the VP, Business Development , the company’s other departments and external key clients and daily support with administrative requirements.

Specific Responsibilities

  • Manage the Vice-President's calendar

  • Organize trips for him and his team (flights, hotel, restaurant, car reservation…);

  • Organize external meetings: reservation of rooms, meals, etc. as required.

Administrative Duties

  • Participate in the preparation, revision, writing, translation, if necessary, and production of presentations;

  • Writing and transmission of all general or confidential correspondence for the Executives;

  • Participate in the preparation and maintenance of files;

  • Archive the documents; Classification of various files;

  • Filtering of calls and mail. Write routine letters and follow up on correspondence;

  • Research information on the Internet (e.g. maps, addresses, information related to our suppliers, media communications, seminars, etc.);

  • Validate and have bills approved;

  • Prepare expense accounts and submit them for approval;

Reporting Process & Coordination of Activities

  • Complete and update the different period-end reports verify department expenses and identify discrepancies;

  • For the hiring of new employees (directors, admin. assistants), ensure that requests are made within the required time for: work space, computers, business cards, various supplies, telephone, cell phone. Organize the employee’s “Orientation”;

  • Ensure that the department’s secretaries function smoothly in their daily duties:

  • Participate in the management of work schedules (vacations, illness, etc.), and ensure replacements during absences;

  • Identify, analyze and solve problems promptly (division of duties in case of overload, etc.).

Job Requirements

  • College degree (minimum)

  • Excellent written and spoken in English, French would be an asset

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)

  • Able to work alone and as part of a team

  • Good sense of organization and planning
