Job Summary

This position is responsible for supporting all INVIVA facilities, acting as the daily contact for INVIVA clinics and ensuring a seamless customer service oriented approach to facility related questions and requests. This will include periodic inspections of clinics, vendor management and execution, and follow up on requests for facility services that keep our sites operational, functional, and efficient. The Facilities Coordinator is also responsible for the proper set up of new clinics and dismantling closed clinics. A high level of independent thought and multi-tasking is required for this role.

Section A – Specific Responsibilities

Duties and responsibilities generally include but are not limited to:

  • Assist and support facilities and maintenance projects, programs and initiatives.

  • Respond and provide support to clinic level operations team in resolving all facilities and maintenance issues.

  • Assist in the development of critical paths and the roll out of all related projects and programs.

  • Assist with maintaining, negotiating and executing national facilities contracts and monitoring contract renewals.

  • Update and maintain manual and automated information in all related databases.

  • Identify and recommend opportunities for the improvement of processes and performance.

  • Comply with all Health & Safety policies and requirements.

  • Conduct premise analysis including; monitoring costs and facility maintenance requirements.

  • Work with team members to identify and respond to any emergency facility related issues.

  • Help support facility specific cost savings targets to contribute to the account achieving significant savings.

  • Implement preventive, ongoing and anticipated maintenance/repair programs.

  • Continuously strive to improve processes for the team and provide administrative support.

  • Ensure equipment is maintained per the regular maintenance schedule.

  • Coordinate with vendors to maintain knowledge on all products, discontinuations, replacements and backorders.

Section B – General Responsibilities

  • Monitor vendor performance and notify Senior Management when service levels are not being met.

  • Ensure backup vendors or products are in place in the event of stock shortages.

  • Demonstrate the ability to adapt and influence the teams in order to effectively lead and manage change.

  • Identify and coordinate activities with nursing, and senior management, while collaborating with other department Managers to share information formally and informally.

  • Follow all McKesson Canada Guidelines, Policies and Procedures as they relate to general policies, IT policies.

  • Other duties as required.

Section C – Position Requirements

  • Degree or diploma in business administration, or equivalent purchasing experience.

  • 2 or more years’ previous operational or customer service environment, with proven leadership abilities.

  • Strong communication skills, ability to manage client relationships with a proven track record of exceptional customer service.

  • Advanced knowledge of Microsoft Office.

  • Ability to identify key issues; creatively overcome internal challenges or obstacles

  • High level of integrity, confidentially, and accountability.

  • Sound planning and execution skills, as well as the ability to make sound decisions in a timely manner

  • A valid driver’s license to meet travel requirements.

  • Up to 50% travel.
