Job Summary

This position is responsible for the management and direct oversight of facilities INVIVA and the McKesson Specialty Health Pharmacies.

Primary responsibility is the coordination of space, infrastructure and supplies, people and organization of all the clinic and pharmacy locations.

The role of a facility manager is to ensure corporate and compliance at http://en.wikipedia.org/wiki/Regulatory_compliance plus the proper operation of all aspects of a building and supplies to create an optimal, safe and cost effective environment for the staff at these locations to function.

Specific Duties

Duties and responsibilities generally include but are not limited to:

  • Ensure the proper operation of all aspects of a building to create an optimal, safe and cost effective environment for the occupants to function. This is accomplished by managing the following activities:

  • Manage issues requiring immediate and periodic maintenance, Create a “ help desk” forcalls related to malfunction as well as proactive maintenance to ensure site standards are maintained. (example: broken equipment,lights not working, photocopier jammed, fridge malfunctioning,)

  • Manage contract with a Facility Repair Company and coordinate all activities to ensure timely repairs occur within a cost containment environment.Ensure quotes are appropriate and solutions for repairs are coordinated with on-site staff to minimize service disruption.

  • Health and safety: Develop procedures and manage facility to ensure control and manage safety related issues.

  • Fire safety: ensure the clinics are properly provisioned with appropriate equipment and maintain in good working order.The facilities management department will have in place maintenance, inspection and testing for all of the fire safety equipment and systems, keeping records and certificates of compliance.

  • Security: maintenance of the hardware or security systems to protect the employees and assetsof the business.Provide direct contact for ongoing monitoring systems in clinics for access control and fridge functioning.

  • Maintenance, testing and inspection: Maintenance, testing and inspection schedules are developed to ensure that the facility and it’s equipment are operating safely and efficiently, to maximize the life of equipment and reduce the risk of failure. Develop and execute on preventative maintenance for all required equipment (fridges, centrifuges, automatic external defibrillators etc.)

  • Cleaning: Develop and maintain cleaning standards to ensure cleaning is scheduled as a series of "periodic" tasks: daily, weekly, monthly and secure contracts for cleaning operations.

  • Lead the development and review of procurement contracts ensuring supply purchasing is competitive and delivers satisfactory products.The facilities management team will seek to periodically re-tender their contracts, or at the very least bench mark them to ensure they are getting value for money.

  • Participates in audit assessment activities to determine the individual needs of the clinics and overall needs for staff and customers and the network.

  • Develop service unit goals, coordinate new programs and projects annually ensuring plans are executed.

  • Evaluates and monitors for conduct that is safe, legal and ethical. This requires ensuring the unit equipment and procedures used for the patients are proper and safe.

  • Working and collaborating with Sr. Manager INVIVA and Clincal Operational Leaders who work with physicians to properly plan activities for patient care in the clinics

  • Tracking monthly budget figures and determining the needs for supplies and medical equipment

General Duties

  • Coordinate and execute presentations, demonstrations and/or site visits to ensure professional service delivery and ensure professional competent workforce

  • Process paperwork such as department budgets, performance and disciplinary actions, vendor presentations and audits.

  • Develop service goals, coordinate new programs and identify plans for network expansion and growth..

  • Maintain industry and product knowledge and inform Company of changing market conditions and competitive issues that could potentially affect the company or the workforce

  • Evaluate the job performance of taff by reviewing an employee's performance of completed work assignments and work techniques and gives staff suggestions on improving their work performance.

  • Identify and coordinate activities with operations and management ensuring optimized work processes within the team.

  • Participate in the evaluation of new products or services or equipment that the health care facility may purchase or participate with or in the future

  • Always keep work area safe, organized and clean and follow company Health and Safety and expense policies.

  • Follow privacy and document retention and compliance Policy

  • Working collaboratively with legal and real estate, coordinate any new site builds or any existing site moves including but not limited to site selection, leases, clinic design, site build out and move.

Qualifications:

• Completed post-secondary studies; Uiversity degree a major asset.

• Bilingualism or knowledge of French a major asset.

• Experience in construction, signing of contracts rental of buildings and installations, ability to read blueprints and specifications, inventory management, etc.

• Knowledge of the medical field, health, specialty pharmacy and / or hospital environments.

• Excellent leadership, team and project management skills.
