Provide high-level administrative and operational support to the VP, Customer and Business Operations with the ability to be a true partner, organizer and gatekeeper for a local team of 6 and an extended team of 38.
Responsiblefor heavy calendaring, scheduling cross-functional, multi-person andmulti-time zone meetings and being the point person for schedulingavailability
Organizesdomestic and international travel arrangements
Preparesand processes expense reports, may review expense reports submitted to thedepartment by direct reports team members
Handlesdetails of a highly confidential and critical nature
Coordinatesactivities between departments and outside parties
Contactscompany associates at all levels to gather information and prepare reports
Meetingorganization and preparation, collecting and collating support materialfrom internal stakeholders and preparing for meetings as well as providingcatering requirements
PreparesPowerPoint presentation materials
Makeshigh level contacts of a sensitive nature inside and outside the company
Managesspecial projects on behalf of the department
Strong,professional inter-personal skills that always represents our company, theteam in strongest manner possible
Musthave a strong team orientation, and willing to support and assist otherswithin the office regardless of title or grade level. Goes the extra mile
Generaloffice administration, including but not limited to receiving guests from receptionas needed
Otherduties as assigned
6 years advanced administrative support experience
Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
Abilityto anticipate activities and take proactive action with little or nodirection
Strongtime management and prioritization skills
Abilityto work on multiple tasks with demanding or competing deadlines
Exceptionalinterpersonal and communication (oral and written) skills
Theability to use automated office equipment, follow difficult instructions,and maintain written records
Exercisesjudgment within generally defined practices and policies in selectingmethods and techniques for obtaining solutions
Excellentattention to detail and organization skills
Usesdiscretion and maintains high-level of confidentiality
