Responsible for providing administrative and clerical support for the VP and Research
Leadership Team. Serves as the primary contact in the department for internal/external
inquiries to route internally. Acts as an information source regarding the department and
policies/procedures. Prepares meetings materials and slide decks; records minutes at key
meetings and provides tracking to follow-up on meeting action items. Assists in the
preparation of reports, graphs, and presentations on key business metrics using spreadsheet,
graphic software, and/or database applications. Makes appointments and travel arrangements.
May assist in establishing department policies, coordinating special projects or departmental
activities. Support to department with new hire on-boarding and supply ordering. Supports
and adheres to the US Oncology Compliance Program, to include the Code of Ethics and
Key Responsibilities 100%
- Schedules meetings to include meeting invitations, room scheduling, ordering
refreshments, and preparation of agendas, reports, slide decks or other meeting materials.
Records and distributes minutes – including results to be delivered and action items with
clear follow-up timelines and owners. Tracks actions/issues/relevant activities from
meetings and ensures follow-up and accountability by the appropriate team members. 30%
- Generates and prepares formatted reports, graphs and presentations on key monthly
departmental metrics and practice metrics (e.g. monthly accrual reports) using CTMS or
other data sources as directed. Maintains documents on the Research shared drive, CTMS,
or other designated areas. 30%
Coordinate special projects or departmental activities as requested. 15%
Maintains electronic files of departmental reports and key communication tools including
calendars, distribution lists, and slide decks. 10%
- Orders equipment and supplies for new hires; facilitates the on-boarding of new hires.
Central supply ordering for department. 10%
- Makes travel arrangements for guests or department staff as requested. 5%
4 years administrative support experience
Proficiency with computer systems and Microsoft Office Suite (Outlook, Word, Power Point,
and Excel) required
Attention to detail and demonstration of quick follow-up to client needs, commits to quality
Interpersonal skills and clear oral and written communication skills. Uses correct grammar,
syntax, and format
Demonstrated adaptability, handles day to day work challenges confidently, is willing and able to adjust to multiple demands, shifting priorities; shows resilience in the face of constraints, demonstrates flexibility
Shows work commitment: sets high standards of performance; pursues aggressive goals and works efficiently to achieve them
Prior office experience in the medical field would be a plus
Additional Knowledge & Skills
Thorough knowledge of administrative support; Reading, writing, arithmetic skills and strong interpersonal skills. High level of computer literacy with command of office software including spreadsheets, word processing and database applications.
HS Diploma, Vocational Training or Equivalent
